Terms & Conditions of Living at Gate Lodge 2018-2019

Booking & Allocation of Room

Rooms will be offered in order of application, first come first served, and allocated to those who secure their booking by deposit payment. Once your application has been successful you will be informed by e-mail of the room type you have been allocated. A receipt for deposit payment can be printed from your Student Portal account.

Moiety Payments

Option1: 2 Moiety Payments: The 1st moiety payment is to be paid in full no later than 22nd August 2018. The room and deposit will be automatically forfeited where accounts are not paid in full by this date. The 2nd moiety payment is to be paid no later than 3rd December 2018.
Option 2: 5 Stage Payment Plan: full-term rental added together and split over 5 payments with the 1st starting on the first day of the lease and the subsequent 4 payments to be made on the 1st day of every month from October to January. A €100 fee is applied to payment plans and must be paid with the first instalment (paid once only, not per instalment) and the utilities charge must be paid at this time also.

For any bookings made after the above-listed dates, full fees due must be paid within 48 hours of booking confirmation.

Payment Methods

Payment must be made online using a valid credit or visa debit card.

Payment terms

Moiety one payment is due no later than 22nd August 2018. For Insurance purposes, cash/cheque payments will not be accepted into the office.
Moiety two payments are due no later than 3rd December 2018

Cancellation Policy

  1. All 1st Moiety payments should be made in full by 5:00 pm on 22nd August 2018. Failure to make payment by this date will result in bed space being released for resale without a deposit refund.
  2. If a 1st Year applicant wishes to cancel or is unsuccessful in their college application, he/she must cancel in writing no later than 48 hours after the first-round CAO offers are published i.e. by 5:00 pm on 22nd August 2018. Cancellations by telephone will not be accepted; they must be made by email or post. In the event of such a cancellation, a €100 cancellation fee will be deducted from the booking/security deposit and the remainder refunded via bank transfer. No deposit refund will be made for cancellations after this date.
  3. If a 2nd, 3rd, 4th year, PG etc. applicant wishes to cancel he/she must do so by 5:00 pm on 10th August 2018. Cancellations by telephone will not be accepted; they must be made by email or post. In the event of such a cancellation, a €100 cancellation fee will be deducted from the booking/security deposit and the remainder refunded via bank transfer. No deposit refund will be made for cancellations after this date.
  4. If any applicant cancels after 5 pm on the 22nd August 2018 (or anytime thereafter, or at any stage during their licence agreement), having paid the moiety and utilities, a refund will not be given unless a replacement applicant is found and all monies due are paid in full. Gate Lodge will endeavour to refill this bed space but cannot guarantee it. Failure to refill bed space will result in the applicant losing all monies paid.

Licence Agreement

A Licence Agreement is entered between the student & his/her Landlord. The Student is obliged to follow the Apartment Rules, which outline the Rules & Regulations in place for the development and which forms part of the licence agreement. It is compulsory that all students residing at Gate Lodge MUST have a signed agreement. The agreement will be accessible on your student portal prior to check in and the signature pages must be printed and then signed by both student and their Guarantor and returned to Gate Lodge management.

Wi-Fi access codes will not be issued until the signed licence agreement is returned to the office.

Checking In & Key Collection

Gate Lodge will issue an e-mail to successful applicants before the commencement date detailing check-in dates & times and what you will need to check-in. A key will be issued on arrival which will permit access to the allocated apt. An information e-mail detailing all you need to know about living in Gate Lodge will be provided.

Inventory Form

All individual items of the household inventory have been counted prior to your arrival. Missing items have been replaced. We deem all items of inventory present. The full list of Inventory items per household is e-mailed to each resident at the beginning of the term; the household is now responsible for these items.
Each individual student must complete a count of your own bedroom, the ensuite and the common areas of the household; this must be completed on or before the close of business on a set date in September. Inventory reports that are received after this date students will be liable for missing items and these will not be replaced by the office.

Apartment inspections

Inspections are carried out 3 times during the academic year, with inspection notification being issued a minimum of 24 hours in advance. Please have your apartment in a clean and tidy condition for inspections. Items of equipment often overlooked for cleaning are; the front door, living room window, oven, hob, fridge, microwave and shower. More tips are given on inspection notices. Inspection notes are recorded on the day of inspection; these sheets are then copied with a copy issued back to each unit. Failure will result in contract cleaners being called in, the cost being borne by the tenant/s.

Insurance cover

You are required to take out Insurance cover for your personal belongings as they are not insured on the Gate Lodge policy, as Gate Lodge does not have an insurable interest in your property. USI have recommended

Room Moves

Gate Lodge Management reserves the right to move a tenant to another property of the same room type within the complex should the property suffer a decrease in occupancy at any stage during the academic year

On Departure

Gate Lodge has a duty to provide accommodation to you, the student, and to also care for the units on behalf of the landlords. It is expected that apartments be returned to Gate Lodge management in a similar condition to which they were received at the start of the year. Gate Lodge staff carry out a thorough check on all units following student departure with a focus on cleaning, painting, inventory and maintenance. The condition in which the unit is returned will have a strong bearing on deposit monies returned.

  • Please pay attention to the cleaning of your hob, oven, grill pan and extractor throughout the year.
  • Painting charges can also escalate so please take care of walls & woodwork throughout your unit. Each student is responsible for his/her individual bedroom. General wear and tear will be taken into consideration for the common areas but any excessive damage is payable by the student.
  • Maintenance damages are to be reported throughout the year
  • Curtains – please beware of smoke damage – smoking is not permitted indoors at Gate Lodge
